What’s in Omnia Manage

Everything listed here is in use on real estates today, for MSPs and in-house IT teams alike, except where it says coming soon or MSPs only.

Asset register and history

Every device each client owns, kept current from your tools, with every change on one timeline.

Hardware register
Make, model, serial, operating system, processor, memory and storage for every device, grouped by client, location and department. Device types are worked out from the make and model.
Phones and tablets
iOS and Android devices enrolled in your MDM sync alongside laptops and desktops. Company-owned only, unless you include personal devices for a client.
Field-level history
Every change your tools make to a device, from its name and operating system to its memory, storage and warranty, recorded on its timeline with where it came from. Assignments, repairs and purchases sit alongside.
Ask the history
Ask about a device in plain English, such as who had it before or when it was last repaired, and AI answers from its timeline.
Seen by
Each device shows which of your tools report it, so gaps in coverage are easy to spot.
Your edits are safe
Details and statuses you set by hand are never overwritten by a sync.
Offline and removed devices
Devices not seen for a set time, or removed from your RMM or MDM, are marked inactive and flagged for you to review, so the register stays honest.
Import from CSV or Excel
Bring a client’s existing spreadsheet in. Rows match on serial number, and blank cells never overwrite what’s already there.
Custom fields
Add your own text, number, date, yes/no or pick-list fields, for every device or only certain types.
Purchase, repair and finance
Record purchase dates, suppliers and costs, log repairs, and keep warranty and finance details against each device.
Invoice reading
Upload a supplier invoice as a PDF or photo. AI reads the lines and matches them to devices, so purchase dates and costs fill in with one click.

Lifecycle and refresh planning

Know when each device is due for replacement and what it will cost, a year or three ahead, before the client has to ask.

Refresh forecast
A replacement date for every device from its age and warranty, grouped into overdue, within a year, and one to three years out, with the cost of each.
Your replacement policy
Set the age limit, warranty grace period and replacement cost for each device type. Leave out the types you don’t replace.
Warranty dates
Taken from your RMM where it has them, otherwise estimated from the purchase or enrolment date and a warranty term per make and model. Dates you enter always win, and each one shows where it came from.
Operating system end of support
Windows and Windows Server end-of-support dates shown beside each device, without counting free upgrades as replacements.
Across every clientMSPs only
A forecast for each client, a report across all of them, and a refresh section in each client’s IT review.

Software asset management (SAM)

What’s installed, what’s paid for and what’s going to waste, worked out from your tools instead of typed into a spreadsheet. Renewals flagged while there’s still time to act.

Microsoft 365 licences
Purchased, assigned and unused seats for every client’s Microsoft 365 tenant, synced from Microsoft, with each user’s licences on their record.
Licence waste
Unused seats priced in pounds, for each client and across all of them on your dashboard.
Installed software
The applications on each device, read from your MDM, or from your RMM where it reports them. Link one to a licence and its seats in use are counted from real installs.
Distributor pricingMSPs only
Client prices, your partner cost, billing terms and commitment dates synced from your distributor for each client, so licence waste is priced from what they actually pay.
Licence register
Every other licence recorded against the client that holds it, with vendor, product, seats and cost per seat and per month.
Renewal reminders
Emails 30 days before a renewal, again at 7 days, and on the day itself.

Cloud: Azure and AWS

Each client’s cloud spend and waste next to their devices and licences, with read-only access you control.

Spend per client
Monthly spend by service for the last 12 months, from every Azure subscription and AWS account you connect, each in its own currency.
Ways to save
Idle and oversized resources from Azure Advisor, and AWS rightsizing, unattached disks and unused IP addresses. Azure savings are added to your dashboard’s unused-cost total.
Cloud resources
Azure virtual machines, Arc servers, databases, storage and web apps, and AWS EC2, RDS and Lightsail, linked to the matching device record.
Shared accountsMSPs only
Servers in your own AWS account can be assigned to the client they serve, and added to their register as server assets.
Read-only access
A Reader role on each Azure subscription and a read-only role in each AWS account. Nothing in the cloud is changed.
In the client review
A Cloud section for each provider in the client’s IT review, beside their devices, licences and contracts.

AI usage

Coming soon

Know which AI tools your clients are paying for and using. Omnia Manage treats AI as software: it finds it, compares what’s licensed with what’s used, and turns it into advice you can take to the client.

Copilot licences that are actually used
See who has a Copilot seat and who has used it lately, and reclaim the seats nobody touches.
AI apps connected to Microsoft 365
Spot AI tools that staff have given access to the client’s Microsoft 365, and flag them for review.
AI apps on devices
See where ChatGPT, Claude and Copilot desktop apps are installed, from your MDM and software inventory.
AI spend in the cloud
Azure OpenAI costs sit next to the rest of the client’s cloud spend.
Approved and unapproved tools
Set the AI tools each client allows and get alerted when something else shows up.
Ready for the review meeting
An AI section in the client review shows wasted seats, unapproved tools and a recommended next step.

Contracts and vendors

Every client contract in one place, with reminders before the notice period runs out rather than after.

Upload and read with AI
Upload a contract PDF and AI reads the dates, notice period, cost and auto-renewal. You check the details before anything is saved.
Notice reminders
Emails 60, 30, 14 and 7 days before the last day to give notice, and on the day itself.
Automatic rollover
Contracts that renew on their own roll on to the next term, so their dates stay right.
Notice given
Record when notice has been given, and the reminders and automatic renewal stop.
Vendor list
One list of vendors across all your clients, with contacts and websites.

Client portal and reviews

A live view of everything you manage, for the people paying you to manage it.

A login for every client
Each client sees only their own data. Invite someone from their contact record and a welcome email goes out straight away.
Organisation dashboard
Client admins see their devices, software, users and organisation details in one place.
IT review
One page per client for review meetings: devices and their refresh plan, licence waste, cloud spend, renewals and contracts due, and domain and email security. In your branding, and it prints cleanly to PDF.
Reviews and contracts for clients
Client admins can open their own IT review and see their contracts and notice dates whenever they like.
Published documents
Share the runbooks and guides you choose. Everything else stays internal.

Documentation

Client documentation that lives next to the client’s assets, not in a separate wiki.

Knowledge base
Rich-text documents organised into categories, with separate internal and public sections.
Network diagrams
Draw diagrams inside Omnia Manage and keep them with the client they belong to.
Draft or published
Documents stay internal until you publish them to the client’s portal, and you can unpublish at any time.

Monitoring and notifications

Hear about problems before your clients do.

SSL certificate monitoring
Every client domain checked each night, with emails 30, 14 and 7 days before a certificate expires, and on the day.
Domain health
Registration expiry and SPF, DKIM and DMARC checks every night, with an alert when a domain’s DNS changes.
Asset change notifications
Changes are batched into a single email instead of a flood, plus a summary email for each client.
Reports
Download CSV reports of all assets, operating system versions, devices that haven’t been seen recently and devices with no user.
Compliance alerts
An alert when a managed device stops being compliant, recorded on its history.

White-label

Put your own name on it. Your clients never need to know Omnia Manage exists.

Your own domain
Host the client portal on your domain, with the SSL certificate handled for you.
Your branding
Your name, logo, colours and favicon throughout the portal and client reviews.
Your email address
Invites and notifications are sent from your own email domain, with your branding.

Security and data

Built so one MSP’s data can never be seen by another.

A separate database for every MSP
Your data is kept in its own database, not in a shared one with other MSPs’ data.
Access controlled by role
Admin, staff, client admin and client roles, enforced by the database itself rather than just the screens.
Microsoft sign-in
Let your team sign in with Microsoft 365, or use a magic link or password.

Works with the tools you already run

Connect each tool once per client. Omnia Manage keeps everything in step from then on.
