Terms of service

Last updated 12 October 2026

1. About these terms

Omnia Manage is provided by Omnia Systems (UK) Ltd, a company registered in England and Wales under number 07796092, at 12-13 The Oaks, Clews Road, Redditch, Worcestershire, B98 7ST (“Omnia”, “we”, “us”).

These terms, our data processing agreement (DPA) and your order (the trial confirmation or invoice we send you) together make up the agreement between Omnia and the business that uses Omnia Manage (“you”, the “Customer”). If they conflict, the DPA wins on anything about personal data, then the order, then these terms. By requesting a trial or using Omnia Manage you accept these terms, and you confirm you have authority to accept them for your business.

2. The service

Omnia Manage is hosted software for managing IT assets, software and licences, and the related information about your own business or the clients you look after. Each customer has its own workspace. We improve the service over time and may change features, but we won’t remove a feature you rely on during a paid period without telling you first.

3. Trials

Trials last 14 days unless we agree otherwise, and are free. When a trial ends, we may suspend the workspace until you subscribe. If you don’t subscribe, we delete the workspace and its data within 30 days after the trial ends.

4. Accounts and users

You decide who can use your workspace and what they can see, including any client portal users you invite. You are responsible for their use of it and for keeping sign-in details secure. Tell us straight away at support@omnia-manage.io if you think an account has been misused.

5. Your data

The data in your workspace stays yours. We use it only to provide, support and secure the service, as set out in the DPA. You are responsible for having a lawful basis for the personal data you put into or connect to Omnia Manage, including data about your clients and their staff.

6. Integrations

You can connect Omnia Manage to other services, such as Microsoft 365, your RMM or MDM, your distributor or your cloud provider. When you do, you instruct us to read data from them for your workspace. Those services are run by their providers under their own terms, and we are not responsible for their availability or the accuracy of what they return.

7. AI features

Some features use AI to read documents (such as contracts and invoices), answer questions about your assets and draft text. AI output can be wrong, so check it before you rely on it. The AI provider we use doesn’t train its models on your data. It is listed in the DPA.

8. Support and support access

We provide support by email at support@omnia-manage.io.

  1. We will only access your workspace to give support, investigate a fault or carry out work you have asked for.
  2. Access needs your permission. A workspace administrator turns on Support Access (Settings > General > Support Access) for a period they choose, of up to 7 days, and can turn it off at any time. Access ends automatically when that period ends.
  3. Our staff sign in using a separate account called “Omnia Manage Support”, never as one of your users, so anything they do is shown under that name. Each sign-in, including which member of our staff made it, is recorded and shown to your administrators.
  4. Only staff who need access to deal with your request will use it, and they are bound by a duty of confidentiality.

Separately, a small number of named Omnia staff can reach the systems that host Omnia Manage, so that we can run, update, secure and repair the service. The DPA sets out how that access is limited.

9. Fees and payment

Fees are as set out in your order. Unless the order says otherwise, they are charged monthly in advance and exclude VAT, and invoices are due within 30 days. We will give you at least 30 days’ notice of any price change. If an invoice is more than 30 days overdue, we may suspend your workspace after telling you we intend to.

10. Acceptable use

You must not use Omnia Manage to break the law or anyone’s rights, try to get round its security or other customers’ separation, upload malware, overload or disrupt it, copy or reverse engineer it, or resell it unless we have agreed that in writing (for example, on a white-label plan).

11. Availability

We aim to keep Omnia Manage available and working, and we keep backups. We may need to take it offline for maintenance, which we try to do outside UK working hours. We can’t promise the service will never be interrupted or free of faults, and we don’t offer a service level unless your order includes one.

12. Confidentiality

Each of us will keep the other’s confidential information confidential and use it only for this agreement. This doesn’t cover information that is already public, that the other already had, or that the law requires to be disclosed.

13. Intellectual property

We own Omnia Manage and everything we build for it. While your subscription or trial lasts, you may use it for your business. If you send us suggestions, we may use them without owing you anything.

14. Liability

Nothing in this agreement limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

Otherwise, neither of us is liable for loss of profit, revenue, business or goodwill, or for indirect or consequential loss. Our total liability under this agreement in any 12 months is limited to the fees you paid in the 12 months before the claim, or £100 if that is more.

15. Ending the agreement

Either of us can end a paid subscription by giving 30 days’ written notice. Either of us can end it straight away if the other seriously breaks this agreement and doesn’t put it right within 14 days of being asked, or becomes insolvent.

When the agreement ends, you can ask for an export of your data within 30 days. After that, we delete your workspace and its data, as set out in the DPA.

16. Changes to these terms

We may update these terms. We will email your workspace administrators at least 30 days before a change that affects you takes effect. If you don’t agree to it, you can end your subscription before then.

17. General

This agreement is the whole agreement between us about Omnia Manage. Neither of us may transfer it without the other’s agreement, except that we may transfer it to a company that takes over our business. Notices can be given by email. This agreement is governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
